What is a Xiaomi work profile and why are your contacts split?
You opened a phone book on your Xiaomi, and there are two copies of the same contacts, or suddenly you find that some numbers are missing from the main list, but appear in the search? Most likely, the fault of the work profile is the Android feature, which is automatically created when you connect corporate accounts (for example, Microsoft Exchange, Google Workspace or Mi Work).
A work profile is a virtual container on your smartphone that isolates your business data from your personal data, which appears when a company administrator sets up a mobile Device Management (MDM) or you manually add a work account, resulting in contacts, calendars, and even some apps being duplicated: some are stored in a personal profile, others in a work account.
The problem is that Xiaomi (like other Android-based vendors) doesn’t always explicitly show where contacts come from, and users often confuse them with cloud-based copies from Mi Account or Google Contacts, although the mechanism is different, and then we’ll look at how to distinguish between work contacts and personal contacts, why they can disappear and how to sync them correctly — without the risk of losing important numbers.
How to distinguish contacts from a work profile from personal ones?
The first sign that you have a work profile activated is a portfolio icon (💼) Next to your account name in your settings or your contact list, but it's not always visible. Here's how to pinpoint the source:
- 📱 In the Contacts app: Open any duplicate contact → click "Edit» → If you look at the Account field, if it says something like Work, Corporate or your company name, it's a work profile.
- 🔍 Search: Type the contact name in the search bar. If it appears twice – with different account icons (for example, your Mi Account and the company logo) – this is a confirmation of duplication.
- ⚙️ In Account Settings: Go to Settings → Accounts and syncs: If there's a section that says "Work profile" or "Managed profile," that's the source of "extra" contacts.
Important: Work contacts can be automatically removed from the main list if the company administrator has established policies, for example, when leaving a job or deleting a profile, all this data can disappear without the possibility of recovery.
💡
If you're not sure which profile is active, try turning off sync for your work account for 5 minutes, and if your contacts are gone, they're there.
Why are Xiaomi’s work profile contacts disappearing?
The most common complaint of users is that contacts from the work profile suddenly disappear after updating MIUI, resetting or even restarting the phone, the reasons for this are different, but they all have to do with the features of Android for Work (now Android Enterprise):
| Reason for disappearance | How it manifests | Can we restore it? |
|---|---|---|
| Deletion of profile by administrator | Contacts disappear completely, profile deactivated | Not if there was no backup. |
| Resetting phone settings | Profile remains, but contacts are not synchronized | Yes, after re-entering the account |
| Update MIUI with errors | Contacts are displayed but not edited | Yes, through cleaning the cache of the Contacts app |
| Limitations MDM-politician | Contacts are visible, but cannot be exported | Partially, if the administrator allows |
Especially insidious is the situation when the working profile is not deleted completely, but simply “hangs” after a change of work, in which case the contacts can remain in the memory of the phone, but not displayed in the interface. You can check this through Settings → Apps → Show all applications → Three dots (menu) → Show system – there should be an Android Work Profile.
What if the profile is deleted and contacts are needed?
How to transfer contacts from work profile to personal?
If you quit or just want to combine all contacts in one place, they can be exported, but there are some nuances: some companies block this feature through security policies.
Open the "Contact" app»|Select “Contact Management» → «Imports/Exports»|Click Export to File and select a Work Account|Save the.vcf file to your device or the cloud|Import contacts to your personal account (Google or Mi Account)-->
If the Export button is inactive:
- Try using a third-party app like Contacts Backup & Restore (available on Google Play).
- Connect your phone to your computer and copy the contact file through Internal Storage → Download (if the export is still complete).
- Go to the IT-Company Department Requests Temporary Lift of Export Restrictions.
⚠️ Note: when you transfer contacts from your work profile to your personal one, group tags (such as “Colleagues” or “Partners”) may be lost if they were set by the administrator.
How to remove your work profile (and what happens to your contacts)
If you don't need a profile anymore, you can delete it, but remember, all the data in it (contacts, mail, files) will be permanently erased. Here's how to do it on Xiaomi:
- Go to Settings → Accounts and Synchronization.
- Find the Work Profile section (may be called the Managed Profile).
- Put it on him. → Delete profile.
- Confirm the action. The phone will reboot.
After removal:
- 📴 All applications installed in the work profile will disappear.
- 📧 Corporate mail and calendars will be shut down.
- 🔒 Some security settings (such as lock screen password) may reset.
⚠️ Note: if the profile was created through Mi Work (corporate version) MIUI), Deleting it may block some work-related phone features (such as access to corporate Wi-Fi.
💡
Deleting your work profile does not affect personal data (photos, messages, applications), but all business contacts and files will be lost without the possibility of recovery.
What if contacts from the work profile are not synchronized?
Sometimes contacts from the work profile stop updating or are displayed incorrectly, the reasons can be on the phone side, and on the server side of the company.
- Check your Internet connection: your work profile requires a stable connection to sync. Try switching from Wi-Fi to mobile data or vice versa.
- Update the Contacts app: Go to Google Play, find Contacts from Xiaomi and click Update.
- Clear the cache: go to Settings → Apps → Contacts → Memory → Clear the cache.
- Reload your profile: in your work profile settings, find the Sync Now option and activate it.
If nothing helps, the problem may be on the side. MDM-server, in this case:
- 📡 Ask the administrator to restart the synchronization service.
- 🔄 Delete and re-add your work account (but this will result in the loss of unsynchronized data!).
- 📱 Reset network settings: Settings → SIM-maps and mobile networks → Resetting network settings.
Some Xiaomi models (such as the Redmi Note 12 Pro+ or Xiaomi 13T) have a bug where the working contacts don’t show up in the search, even though they’re on the list, in which case reinstall the Contacts app via Settings → Apps → Three Dots → Reset settings.
Can you disable duplicate contacts without deleting your profile?
Yeah, but not always. If the administrator of the company didn't prohibit it through policies, you can:
- Hide your work contacts: in the Contacts app, click on three points → Settings → Display contacts → uncheck your work account.
- Combine takes: open contact → click “Unite” and select a personal copy. Xiaomi will offer to merge the data.
- Use third-party applications: Simpler Contacts or Truecaller can filter contacts by source.
⚠️ Note: if the Device Owner feature is enabled in the work profile, the concealment of contacts can be blocked, in which case the only way out is to negotiate with the administrator about changing the policy.
Some MIUI firmware (e.g. MIUI 14 and later) has an experimental Contact Separation feature that automatically sorts numbers by profile. To enable it, go to Settings → Special Features → System Settings → Contact Separation.
