Xiaomi, Redmi and Poco smartphone owners often face notifications that “synchronization is on” or “failed to sync” — a process that many users perceive as a background process that is best left unchecked until it starts to drain battery or take up space in memory — but understanding what sync means is key to efficient data management and security of your device.
In essence, this process is a constant comparison and update of information between your phone and remote cloud storage servers. In the Xiaomi ecosystem, it is primarily Mi Cloud, but also closely related to your Google account. If you lose your phone or buy a new model, it is synchronization that allows you to recover all contacts, notes, photos and even desktop settings in a matter of minutes just by logging in to your account.
However, blind trust in automatic settings can lead to cloud overflow or, conversely, loss of important data if you accidentally turn off the desired option. In this article, we will discuss in detail what data should be synchronized necessarily, how to manage this process in the shell of MIUI or HyperOS, and how to avoid common errors when changing devices.
The basic principle of cloud synchronization
Technically, the data exchange process is a periodic check of changes in the local databases of a smartphone and their matching with information on the server. When you add a new contact to the phone book, the system marks it as modified and, if you have an Internet connection, sends a copy to the cloud, which provides real-time backup, which is critical in case of sudden hardware failures.
It's important to understand the difference between a full copy and a sample one. It doesn't copy the entire phone every minute, because it would require a lot of traffic, instead it uses a delta synchronization algorithm that only transmits modified file fragments, and this is especially true for large amounts of data, such as a photo gallery or a message history in messengers.
⚠️ Note: Sync is not a replacement for a full backup with an external medium.If your account is hacked or blocked, you may lose access to all data stored exclusively in the cloud without a local copy.
The service requires a stable Internet connection, and you can specify in your settings whether you only use Wi-Fi or allow data to be transmitted over a mobile network, the latter option can lead to a rapid exhaustion of the data plan if you take many high-resolution photos.

Main services and accounts in MIUI and HyperOS
Xiaomi smartphones have two main user profiles running in parallel: a Mi Account and a Google account. Each of them is responsible for its own data segment, and it is not necessary to confuse them. Mi Account is tailored to the manufacturer's ecosystem and allows you to synchronize specific data, such as theme settings, alarm clock schedules and the location of icons on the desktop.
Google accounts, in turn, are the standard for Android, which saves contacts, calendar events, Google Keep notes, and game progress, and separates these data streams, allowing users to manage privacy flexibly, such as storing personal photos in the Google cloud and working documents in the Mi Cloud.
To access the settings, go to Settings → Mi Account or Settings → Google → Sync. This displays the connection status and list of applications that have access to the background data transfer. Disabling sync for a particular application does not delete the data already downloaded, but stops updating it on new devices.

Xiaomi’s free cloud storage plan provides just 5GB of space. For modern high-resolution smartphones, this volume is catastrophically short even for a week of active shooting. So the system prioritizes data: contacts and settings are synchronized first, and photos can stop if the limit is exhausted.
To control the filling, you need to check the status of the storage regularly. Path to check: Settings → Mi Account → Mi Cloud → Storage Management. Here you will see a diagram of the space allocation. Often it turns out that most of the old backups of the recorder or video screen that the user has forgotten about.
If the limit is exceeded, the synchronization of new data is stopped until the space is freed or the subscription is paid, in which case the reminders will constantly hang on the lock screen and in the notification curtain, and you should not ignore them, since this means that your fresh photos do not have a copy on the server.
⚠️ Attention: Deleting photos from the Mi Cloud via a web interface or on another device will cause them to be deleted in your phone gallery if sync is enabled!

Problems and conflicts in synchronization
Despite the fact that the processes are fine, Xiaomi users are periodically faced with errors, a common problem is “sticking” synchronization, when the indicator rotates indefinitely, but the data is not updated, this can be caused by a conflict of application versions, incorrect system shutdown or server-side problems.
Another common scenario is duplicate contacts, which happens if you sync contacts through the same time. SIM-You combine the map, Google and Mi Account, and you put them together, and you get dozens of identical records from different sources in the phone book» → setting → duplication.
To eliminate most errors, cleaning the sync services cache helps. This won't delete your data, but reset the connection settings. You can do this through the Settings menu → Apps → All Applications → Services and Feedback (or Mi Cloud) → Memory → Clear.
